How and when to re-scan your store

A scan reads your orders, products, stock and customers, and updates what Tendlio works out from them: your scores, your to-do list, product health colors and forecasts. Tendlio scans your store once a week on its own, and you can start a scan yourself when you’ve changed something you want to see in your numbers.

Before you begin #

  • You don’t need to scan often. Tendlio runs a full scan once a week without you.
  • Some changes show up without a scan. Your to-do list is built again every time you open it. When you turn on a tool that a to-do card suggested, the card is gone the next time you open the list. Cards that read your recent orders, like best-sellers losing steam, can change between scans. Cards built from scan results, like stock running out or dead stock, change after the next scan.

When a scan is worth running #

Run one after a change that affects your numbers:

  • You added a batch of new products.
  • You filled in cost prices, or set an average margin under Settings → General → Costs & profit.
  • You ran a clearance, or changed a lot of prices at once.
  • You changed Store vertical or Which orders count as a sale under Settings → General. Both change your existing numbers only after a scan. Which orders count as a sale appears only when your store has order statuses to choose from, such as orders on hold or statuses another plugin adds.
  • You marked to-dos done and want Tendlio to check them now instead of at the weekly scan. Cards about a trend, like best-sellers losing steam, still wait about 30 days before Tendlio checks them again.
  • You updated Tendlio. A new version can change how some numbers are worked out, and a scan brings yours up to date.

If nothing has changed, a new scan a few hours later gives you almost the same numbers. That’s why Tendlio asks before it runs a scan within 6 hours of the last one, unless you’ve updated Tendlio since.

Start a scan #

  1. Click Re-scan store. It’s at the top of the Dashboard and the To do page, and also on Products & insights, Growth engine and Settings.
  2. If your last scan finished less than 6 hours ago, Tendlio asks whether to run it anyway. Click OK to go ahead.
  3. A bar at the top of every Tendlio page shows Analyzing your store… and how far the scan has got. You can keep working while it runs. The To do page hides your cards until the scan finishes, and your scores stay on the page the whole time.
  4. When the scan finishes, the bar says your new results are ready, and the page reloads with them. If a settings form or the email editor has changes you haven’t saved, your browser asks before it reloads.

To stop a scan, click Cancel scan under the bar, then OK. The first scan after you set Tendlio up has no Cancel scan.

See when you last scanned #

Next to Re-scan store, Last scan … ago shows how long ago your last scan finished. Hover over it to see the exact date and time.

If a scan fails or stops moving #

  • The last analysis failed. This message on the To do page says what went wrong and asks you to run the scan again. If a scan keeps stopping at the same point, The analysis looks stuck or is taking long explains what to check.
  • The analysis hasn’t moved since … ago. When a scan hasn’t moved for half an hour, the bar on the next page you open says so and shows Cancel and start again. Click it and confirm, then click Re-scan store.

Why Tendlio scans once a week #

A scan reads through your store’s orders and products, which is a lot of work on a large store. The numbers it works out, like how fast a product sells, are measured over months, so one more day of orders barely moves them. A weekly scan keeps them current, and you scan in between when you’ve changed something.

Does a scan change anything in my store? #

No. A scan reads your orders, products, stock and customers, and changes only what Tendlio shows you.

How long does a scan take? #

It depends on the size of your store. The bar at the top of every Tendlio page shows how far it has got, and you can keep working meanwhile.

Can I turn off the weekly scan? #

Not in Settings. A developer can switch it off with the tendlio_weekly_scan_enabled filter.
